Job Purpose
The Soft Services Manager is responsible for the effective delivery, management, and continuous improvement of all soft services. This includes oversight of cleaning operations across GMP cleanrooms, controlled environments, and general areas, ensuring full compliance with regulatory, hygiene, and safety standards.
Key Responsibilities
1. GMP Cleaning & Compliance
- Manage and oversee cleaning operations within GMP cleanrooms and controlled areas, ensuring adherence to GMP standards and protocols.
- Ensure all cleaning activities meet regulatory requirements, including documentation, audit readiness, and traceability.
- Develop, implement, and maintain Standard Operating Procedures (SOPs) for GMP cleaning.
- Monitor environmental cleanliness standards (e.g., particulate levels, contamination control).
- Work closely with Quality Assurance (QA) teams to ensure compliance with GMP and hospital regulations.
2. Soft Services Management
- Oversee all soft services including cleaning, waste management, laundry, pest control, and hygiene services.
- Ensure high standards of cleanliness in both clinical and non-clinical areas of the hospital.
- Manage specialist cleaning tasks such as terminal cleans, decontamination, and infection control procedures.
- Coordinate periodic deep cleaning schedules for GMP and non-GMP areas.
3. Team Leadership & Training
- Lead, manage, and develop a team of cleaning operatives and supervisors.
- Ensure all staff are trained in GMP cleaning procedures, infection control, and health & safety standards.
- Conduct regular performance reviews and audits.
- Promote a culture of accountability, compliance, and continuous improvement.
4. Health, Safety & Infection Control
- Ensure full compliance with health & safety legislation and policies.
- Conduct risk assessments and ensure safe systems of work are in place.
- Investigate incidents and implement corrective actions.
5. Quality Assurance & Auditing
- Conduct regular internal audits of cleaning standards.
- Ensure all cleaning records, logs, and documentation are accurately maintained.
- Support external audits and inspections by regulatory bodies.
- Drive continuous improvement initiatives based on audit findings.
6. Stakeholder Management
- Ensure service delivery meets contractual KPIs and SLAs.
- Provide regular reports on performance, compliance, and service improvements.
7. Resource & Budget Management
- Manage staffing levels, rotas, and resource allocation effectively.
- Control budgets related to soft services, including cleaning materials and equipment.
- Ensure appropriate stock levels of cleaning supplies.
Key Skills & Experience
- Proven experience in a Soft Services or Facilities Management role within a GMP, pharmaceutical, or healthcare environment.
- Strong knowledge of GMP regulations and cleanroom cleaning protocols.
- Excellent leadership and team management skills.
- Strong understanding of health & safety regulations.
- Experience in auditing, compliance, and quality management systems.
- Good communication and stakeholder management skills.
Qualifications
- Health & Safety qualification (e.g., IOSH or NEBOSH) desirable.
