The Opportunity

We are supporting a major UK infrastructure programme in the recruitment of an experienced Document Control Manager to lead document management and control activity across a complex, large-scale engineering and construction environment.

This is a senior document control position responsible for the implementation, maintenance and continuous improvement of document management processes, procedures and systems, alongside the leadership and performance management of a team of Document Controllers.

Working across internal delivery teams, contractors and the wider supply chain, you'll play an important role in ensuring project information and documentation is effectively controlled, stored, retrieved, tracked, traced and audited throughout the project lifecycle.

You'll be joining a technically complex programme with a significant volume of documentation, multiple stakeholders and interfaces, making this an excellent opportunity for someone with strong document control expertise who is comfortable operating at management level.

The Role

As Document Control Manager, you'll take responsibility for document control performance within your area, providing leadership, technical guidance and assurance across both internal teams and the supply chain.

Key responsibilities will include:

  • Leading and managing a team of Document Controllers, setting objectives, monitoring performance and ensuring agreed service levels are achieved.
  • Ensuring document control policies, processes and procedures are consistently followed across the business.
  • Providing specialist advice and support on document management and control.
  • Understanding document control requirements across different departments and ensuring appropriate resources are available.
  • Leading and guiding Document Controllers across the organisation and supply chain in the effective management of documents and project deliverables.
  • Developing and delivering training relating to document control practices, processes and systems.
  • Implementing effective document and data management solutions, with particular focus on document control and records management.
  • Ensuring project records are appropriately controlled, stored, retrieved, tracked, traced and auditable.
  • Managing documentation throughout its lifecycle between client, contractors, stakeholders and other interested parties.
  • Supporting the review and acceptance of contractor and consultant deliverables.
  • Maintaining the confidentiality, integrity and availability of corporate and project information.

The position directly leads a team of five Document Controllers, operating in a high-volume environment processing more than 1,000 tasks per week, while interacting with multiple contractors and stakeholder groups.

What We're Looking For

We're looking for an experienced document control professional who has operated within a complex project, engineering, construction or infrastructure environment and is comfortable combining technical document management expertise with people leadership.

You'll ideally bring:

  • Strong experience with electronic document management systems (EDMS).
  • Experience managing Document Controllers or wider document management teams.
  • Strong understanding of document control standards, processes and procedures.
  • Experience of records tracking, archiving, retention and storage.
  • Good understanding of documentation processes across a typical project lifecycle.
  • Experience managing the flow and lifecycle of documentation between clients, contractors and stakeholders.
  • Knowledge of contract management and the review and acceptance of project deliverables.
  • Knowledge of the document requirements associated with ISO 9001.
  • Strong communication and stakeholder-management skills, including the ability to influence colleagues at different levels.
  • Leadership experience covering coaching, development, performance management and the creation of consistent working practices.
  • The ability to translate technical document-control requirements into clear, practical guidance for non-technical stakeholders.

The original specification also identifies working knowledge of Enterprise Bridge (eB), bulk scanning systems and PDF functionality, alongside knowledge of the Public Records Act 1958 and Section 46 of the Freedom of Information Act 2000.
