About this Role

We are seeking an organised and detail-focused professional to support security vetting, compliance reporting, and operational performance within a busy facilities management environment. This site-based role in Rosyth combines administration, data management, stakeholder coordination, and performance analysis to help maintain high service standards and contractual compliance.


Key Responsibilities

  • Maintain accurate and up-to-date security vetting records within internal databases, ensuring compliance with company policy and statutory requirements.
  • Provide weekly updates to employees, contractors, and supply chain partners on security clearance status, and administer vetting processes as required.
  • Review employee and contractor records regularly, producing vetting status reports and related documentation.
  • Produce, record, and issue identification cards, while managing associated correspondence and security documentation.
  • Carry out general administrative duties including filing, scanning, photocopying, post handling, and responding promptly to emails and telephone queries.
  • Coordinate with Establishment Managers across Scotland and Northern Ireland to support delivery of contractual KPIs.
  • Work closely with supply chain partners to improve service delivery and performance outcomes.
  • Monitor monthly operational performance with site teams, authorised persons, helpdesk teams, and subcontractors, identifying opportunities for improvement.
  • Support statutory, mandatory, and planned maintenance compliance through accurate reporting and effective data management.
  • Provide clear communication and responsive support to internal teams and client stakeholders.
  • Maintain estate and asset data to ensure accuracy and compliance with contract requirements.
  • Support, and where appropriate lead, improvements in CAFM reporting processes and system development.


Requirements

Eligibility

  • Applicants must have lived in the United Kingdom continuously for at least five years to meet security clearance requirements.
  • This is a fully site-based role located in Rosyth during standard working hours.


Knowledge

  • Good understanding of CAFM systems and facilities management reporting tools.
  • Knowledge of data analysis and performance reporting within facilities, engineering, or technical services environments.
  • Familiarity with Ministry of Defence-related data is advantageous.


Skills

  • Strong written and verbal communication skills.
  • Excellent stakeholder management and relationship-building ability.
  • Advanced skills in Excel and Power BI.
  • Ability to interpret large data sets and provide meaningful insights to support decision-making.



Experience

  • Previous experience in fast-paced, data-driven client environments.
  • Broad experience within Works Management, Total Facilities Management (TFM), PFI, or similar sectors.
  • Proven experience using Excel and Power BI to create reports, improve data quality, and support system enhancements.
