About Us

Moston is a dynamic and growing company specialising in Recruitment and Asset Management. We are looking for a proactive and highly organised Project Coordinator to join our Asset Management team at Harewood. This is a fantastic opportunity for an enthusiastic and detail oriented professional to play a key role in supporting our asset management operations.



Role Overview

As a Project Coordinator, you will be responsible for ensuring the smooth scheduling and coordination of surveyors, tracking project progress, and supporting the wider asset management team. Starting with mobilisation once the project scope has been agreed, you will need to assist with the recruitment of surveyors and assist with preparing contracts. Once the project is in flight, you will be required to track progress and report any issues to senior management. General support will be required in weekly client meetings, and any issues should be flagged immediately to senior management. Asset management experience is not required, but excellent communication and organisational skills are essential.



Key Responsibilities

  • Scheduling & Coordination: Plan and schedule surveyors, ensuring they have all necessary information and resources before arriving on site.

  • Contracts and Briefing Packs: Help to prepare contracts for surveyors and pull together information to send out briefing packs prior to project commencement.

  • Communication: Liaise with surveyors via phone and email, providing clear and concise information.

  • Status Tracking: Maintain and update project status trackers to ensure accurate reporting on progress. Learn how to use the asset collection software portal which allows real-time tracking of surveyor progress.

  • Asset Tag Ordering: Manage the procurement and distribution of asset tags to support surveyor activities.

  • Support Functions: Assist the asset management team with ad-hoc administrative and project related tasks.

  • Quality Assurance: Ensure all documentation and records are accurate, up to date, and properly organised.

  • Folder Management: Maintain a clear and consistent folder structure, ensuring project information is readily available

  • Team Player: Ability to collaborate with colleagues and support wider business objectives.



Requirements

  • Previous experience in a coordination, scheduling, administrative, or project support role is desirable.

  • Strong proficiency in Microsoft Office (Excel, Outlook, Word) and experience working with project tracking tools.

  • Ability to work in a fast-paced environment and adapt to changing priorities.
