We are seeking a highly analytical and detail-oriented Asset & PPM Coordinator to join our team. In this key role, you will serve as the central point of expertise for understanding and managing the operational status of Level 2, 3, and 4 assets across the portfolio.
The Role
Your primary responsibility will be to maintain accurate, dynamic asset data within the CAFM system and ensure that all Planned Preventative Maintenance (PPM) regimes are correctly aligned with asset status. You will interpret daily operational reports and move-in/move-out data to determine when assets and PPM schedules should be activated or placed into hibernation, ensuring the integrity of data that drives operational performance.
Working closely with the Asset Manager, internal teams, and the Billable Works division, you will ensure that occupancy status is always up to date and accurately reflected in maintenance plans. You will be responsible for analysing data from multiple systems (including Opti-time, RM, and PPM reports), generating daily reports, issuing work orders to the supply chain, and updating asset records accordingly. Your insight will directly impact compliance, efficiency, and resource allocation.
Beyond day-to-day coordination, you will also contribute to the development of an industry-leading asset reporting function. This includes enhancing maintenance strategies and supporting asset renewal planning, ensuring a proactive approach to lifecycle management.
What You’ll Bring

Advanced Excel skills and the ability to manipulate and interpret complex datasets.
Strong organisational and communication skills.
A proactive and inquisitive mindset, with the ability to identify insights and tell the story behind the data.
Proficiency in Microsoft Office.
Familiarity with systems such as Maximo, Power BI, or other CAFM platforms (highly beneficial).
Understanding of asset hierarchy, statutory inspection regimes, and PPM scheduling—ideally in a housing or property management context.
