Document Controller

As Document Controller, you will act as a vital link between site and office teams. You will be responsible for managing all documentation generated by project teams, contractors, and suppliers, ensuring information is accurately stored, easily retrievable, and quality checked to meet established procedures and standards.

Key Responsibilities:

Act as a liaison between site and office-based teams to manage and control project documentation.

Upload, store, and maintain accurate records of project-related emails, files, and documents.

Conduct quality assurance checks on all documentation in line with the project's document control procedures and naming conventions.

Coordinate with design teams and subcontractors to resolve QA-rejected documents, ensuring timely resubmissions.

Set up new projects and users within the document management system (Viewpoint), assigning correct permissions and access rights.

Assist in configuring new approval workflows within Viewpoint.

Deliver Viewpoint training to internal and external stakeholders as required.

Ensure all templates and documentation adhere to the company’s formatting and compliance standards.

Support the internal design team by generating weekly reports for documents under review.

Monitor and report on outstanding RFIs and technical submissions.

Upload project documentation to Viewpoint or EMS as requested by project teams.

Maintain and update project directories regularly.

Carry out general administrative support for the wider project or office teams as needed.

Candidate Requirements:

Strong organisational and administrative skills.

Self-motivated and proactive with the ability to work under pressure and meet deadlines.

Previous experience in a Document Controller role within the construction or engineering sector is highly desirable.

Familiarity with Viewpoint (4Projects) or similar document control systems is advantageous.

Excellent communication skills and the ability to liaise with multiple stakeholders.

High attention to detail and a commitment to quality and compliance.
